1. Who we are and what this policy covers
This policy explains how ACE-1 IT Solutions (“ACE-1,” “we,” “us”) handles personal information collected through its website, inquiry channels and related communications. The responsible legal entity is Ace-1 IT Solutions, Inc., with its registered address at 5th Floor, Ongtiak Business Center, 65 Gen. Maxilom Ave., Cebu City, Cebu 6000, Philippines.
This policy concerns website visitors and people contacting us about our IT, cybersecurity, engineering and construction services. Separate client contracts and privacy notices may apply when we process information while delivering services to a client.
2. Information we collect
- Contact inquiries: your name, work email, company, company size, selected service and message.
- Resource requests: company/client name, contact person, phone number, email and requested resource.
- Email and telephone communications: information you provide when communicating with our team.
- Booking details: When email verification is enabled, the email address you provide is also sent to the configured verification provider (Hunter or EmailAwesome) to check deliverability before an appointment is created. Verification can be inconclusive and does not confirm email ownership or actual delivery. name, company, email, phone, consultation type, message and selected appointment details. We save booking details on the application server and send the appointment details to Microsoft 365 to check availability, create a Teams meeting and send an invitation to your email address.
- Chat, if enabled: your messages and recent conversation context needed to generate a response.
- Technical information: security cookies, browser storage and information received when your browser requests a page, such as IP address and browser information. When you submit a contact inquiry, construction inquiry, resource request or booking, we save the connection IP address, browser/user-agent information, browser language, submission time, request path and referring website origin with the request. Contact and resource team notifications include these technical details to help review requests and address misuse. These technical details are also included in resource-delivery emails and appointment invitations sent to the requester and meeting participants.
Please do not submit passwords, payment-card details, government identifiers, patient records or other sensitive or confidential information through general website forms or chat. If you provide another person’s information, ensure you are authorized to do so.
3. Why we use information and the basis for processing
We use inquiry information to respond to your request, discuss a possible engagement, provide requested materials and maintain related business communications. Depending on the circumstances, processing may be necessary to take steps at your request before entering into a contract, to meet legal obligations, or to support legitimate business interests such as website security, subject to applicable safeguards and your rights.
Where a feature or communication requires consent, we will request it separately. Reading this policy or visiting the website does not by itself constitute consent to optional marketing or optional tracking.
4. Storage and recipients
The current website saves contact, resource and booking submissions as records on the application server. Contact and resource requests are also sent to our team through Microsoft 365 email. When you request a downloadable resource, we also use your email address to send its download link when resource email delivery is configured. Information may be accessed by personnel who need it to respond to your request and by authorized hosting, IT support, email or other service providers assisting with those activities. We may disclose information where required by law or necessary to establish, exercise or defend legal rights.
The current build has no configured advertising-data sale or sharing feature.
5. AI chat and third-party content
Ace Juan uses your messages and recent conversation context to generate a reply through the configured Ollama service. The current configuration uses a locally hosted model. If a cloud provider is enabled later, chat information will be transmitted to that provider. Recent chat history is retained in the server session to support the conversation. The website does not save chat transcripts as inquiry records; this does not describe provider or infrastructure logging.
Some insight articles load images from Unsplash. Loading those images contacts the image provider and may disclose technical request information, including your IP address. External social-media links take you to independently operated services whose privacy practices apply on their websites.
6. International processing
Our team and service providers may process information outside your country, depending on the services and hosting configuration. We will apply safeguards required by the laws governing the processing.
7. Retention and security
We retain personal information for the period needed for its stated purpose and applicable legal or recordkeeping requirements. Information no longer needed should be deleted or anonymized, subject to lawful preservation requirements.
The current application has no automatic deletion schedule. Form submissions include protection against forged requests. No internet service can guarantee absolute security; additional production safeguards depend on the final deployment.
8. Your choices and privacy rights
You may choose not to provide optional information. Without required contact details, we may be unable to respond to or process a request.
Under applicable privacy law, and subject to its conditions and exceptions, you may have rights to be informed, access your information, correct inaccuracies, object to processing, withdraw consent where processing relies on it, request erasure or blocking, and obtain data portability. You may also have rights to complain and seek compensation for unlawful processing.
You can contact sales@ace1it.com with “Privacy Request” in the subject. We may ask for proportionate identity verification and will respond within the period required by applicable law. You may raise concerns with the Philippine National Privacy Commission or the appropriate authority in your jurisdiction.
9. Children
The website is intended for business inquiries and is not directed to children. If you believe a child has provided personal information without appropriate authorization, contact us so we can review the circumstances and take appropriate action.
10. Cookies and updates
See our Cookie Policy for browser storage details. We may update this policy to reflect changes in our practices or applicable requirements. The published version will show its effective or revised date, and we will provide additional notice where required.
